AvatarLookup workflow illustration for Public Avatar Check for Contact Records: A Data Team Workflow
A visual overview of the workflow discussed in this AvatarLookup article.

A workflow for data teams that want to add public avatar signals to contact-record review without treating them as identity proof.

A public avatar check helps a data team sort contact records into those with a public picture, those without one, and those where the check was undetermined. The signal is useful for prioritizing review, such as spotting records where an image field looks inconsistent with the rest of the entry. This guide walks through a review workflow that keeps each outcome separate and documents what the result can and cannot support.

Where avatar signals fit in contact review

Contact tables collect stale and mismatched fields over time. A public avatar check adds one more observation: whether a supported source currently shows a public picture for the identifier on the record.

Pick the entry point that matches what the record contains. If a record already holds a picture, run image profile analysis on it. If only a WhatsApp number or a supported Gmail, Yandex or Mail.ru address is stored, use the matching avatar analysis. For long lists of phone numbers, usernames or emails, the asynchronous bulk products cover WhatsApp, Telegram, Viber, MAX, LINE, Zalo and supported email.

Each source has its own documented behavior, so keep sources separate in your review notes rather than writing one rule for all of them.

A four-step review workflow

  1. Define the question. For example, which records have a stored picture field that should be checked or refreshed.
  2. Prepare the list. One identifier per line in a TXT or CSV file. Phone files use country-coded digits without a plus sign and one selected country; username and email files need no country.
  3. Run a small sample first. Use realtime or multi checks on a limited set to confirm the outcome categories look sensible before you submit a large task.
  4. Merge results back by identifier. Add the outcome, source and check date to the record, and leave the original fields untouched.

For bulk tasks, results arrive as one CSV per task, and columns differ by product, so build a separate import mapping for each. Plus-86, Hong Kong and Macau phone numbers are only supported in realtime single checks, so route them there instead.

Interpret outcomes as separate categories

Outcome Reasonable reading What not to conclude
Avatar present A public picture was available at check time That the person is who the picture suggests
No avatar No public picture was returned That the account does not exist
Undetermined The check did not produce an answer Any verdict about the account

Image-derived attributes such as picture type or an age estimate are algorithmic estimates. Use picture type to decide, for example, whether a stored image is a photo or something else that deserves manual review. Do not use appearance estimates for decisions that affect people, for screening, or for profiling.

A completed negative result remains a finished check, so plan review volume around results that are informative rather than only those with a picture.

Document limits and keep a human in the loop

Write a short internal note describing what the avatar field means in your database: a public-source observation with a date, not a verified attribute.

Set a refresh rule suited to your own process, since public pictures can change. Keep a reviewer in the loop for any record where the avatar signal would change how a contact is handled, and combine it with other evidence your team already trusts.

Where a sampled batch shows many undetermined results, check the identifier format first, such as stray spaces, plus signs on phone numbers or unsupported email domains, before drawing conclusions about the list itself.

FAQ

What can teams reasonably do with a public avatar signal?

Teams can use it to prioritize records for manual review, flag stored pictures that need refreshing and find identifiers that need cleanup. It works best as one dated observation alongside other evidence the team already trusts.

Which sources can be checked in realtime?

Realtime single and synchronous multi checks are documented for WhatsApp and supported Gmail, Yandex and Mail.ru email addresses. Telegram, Viber, MAX, LINE and Zalo are covered by bulk products only.

How often should teams re-check records?

That is an internal choice. Because a user can change a public picture at any time, teams usually store the check date and re-run the check only when a record is reviewed again.
